Requesting a certificate

Where and how to request a certificate varies depending on which certificate you need.
Please refer to the following list for details.

(Zaiseki-shoumeisho)
Issued for students on leave
Transcript Issued for the currently enrolled program only
Certificate of Expected Graduation Issued for students in their final year only
Certificate of qualification for a student discount Issued only in Japanese Issued for degree-seeking students only (up to ten copies per academic year)
Academic Transcripts A record of grades for courses taken in the previous semester(s) is available.
Course registration confirmation A record of courses registered for the current academic year is available.
Health Checkup Record The record showing the results of the health checkup conducted in April will be issued in late May.

(Research Activity Statement, Certificate of courses taken, etc.)
Please check with the Educational Affairs Section of your faculty Please request directly to the Educational Affairs Section of your faculty if:

a. you have no access to the automated printers;

b. you need a certificate that cannot be issued by the automated printers;

and/or

c. certificates must be in a sealed envelope for submission.

Certificates for scholarship recipients (Certificates of MEXT scholarship/JASSO Gakushu-Shoreihi) Issued in both Japanese and English Issued only for recipients of MEXT scholarship and JASSO Gakushu-Shoreihi who need to submit proof of scholarship to the Immigration Bureau or a municipal office

Request through Google Classroom (Geidai account required. Class Code: “s5slrnu”).

*Applications for extension are accepted up to three months before the expiration of the period of stay. Please plan to apply well in advance as the immigration offices will be crowded before the holidays.

Application documents for Extension of Period of Stay/Change of Status of Residence  The forms “For Organization part 1 and part 2” of the “Application for Extension of Period of Stay” will be completed by the university.

*Other documents are required for the application at the immigration office. Please check the application procedures for an extension of the period of stay here.

Letter of Recommendation
(To change visa status for job hunting after graduation)
Issued only in Japanese To look for work after graduating from an undergraduate or graduate program in Japan, you are required to change your status to “Designated Activities (Continuing to Seek Employment)” immediately after your graduation.

1) an “Request for a letter of recommendation to change/extend visa status for Job Hunting (Word file)”

2) a photocopy of your Residence Card

3) documents indicating that you are seeking employment
